What to Expect

Thank you for choosing Collaborative OT Solutions for your child’s therapy needs and welcome to our clinic!  We are licensed OT providers who develop individualized treatment plans to identify the services that will best suit your child’s therapy needs.  We can also work with your primary care practitioner, or other providers, to coordinate your care.  We are pleased you have chosen us to serve your child’s Occupational Therapy needs and encourage your feedback to alert us to anything we can do to provide your child the highest quality of care.

We strive to offer you and your child with outstanding therapy and support. Your child’s Occupational Therapy session is for 1 hour.  Typically we spend 50-55 minutes working directly with your child and approximately 5-10 minutes reviewing suggestions for your child, reviewing your child’s progress, and/or scheduling at the end of the session with you.  Please bring your child ready to play in comfortable clothes that can get dirty.  If you have any questions or concerns please do not hesitate to ask your therapist.

We strive to start and end your appointments in a timely manner. We will do our best to inform you of the goals targeted and the progress made during each session.   We can also provide home programs and ways for you to follow through with our goals at home to increase carry over. You can expect us to keep anything you share with us confidential.

Attendance/Cancellation Policy: Our clinic strives to provide the best therapy services possible. In order to ensure optimal use of valuable therapy time, please discuss schedule changes at the end of your appointment with your therapist. We understand occasional changes are necessary due to illness, vacations, etc. Please be advised, we require 24-hour notice for any cancellation. For Monday morning appointments please notify our office no later than Friday noontime.  If your child wakes up sick, please contact us no later than 8:00AM on the day of therapy. There is no fee for cancellations made within a 24 hour period when an attempt is made to reschedule at the therapist’s convenience.  Any cancellation with less than 24-hour notice OR after 8:00AM on the same day due to illness will be charged will be charged a $55 cancellation fee. This fee is not covered by insurance; it is the responsibility of the parent(s)/guardian. You will be asked to complete an Easy Pay form to hold a credit card on file for any cancellation fees incurred.

Health and Wellness:  For everyone’s health and well-being, we kindly request that you do not bring your child to therapy if they are displaying the following symptoms: vomiting, diarrhea, fever, green mucous, consistent cough, conjunctivitis (pink eye), head lice, scabies, or ring worm. Please make sure that the symptoms have been resolved for at least 24 hours prior to returning to therapy. We try to keep our clinic clean and sanitary to ensure that all children and therapists stay healthy.

Waiting Room Guidelines: In order to make our clinic a comfortable and safe place for all of our families and our staff, we ask that families follow our clinic guidelines.  Please read and become familiar with the following expectations.

  • Before entering therapy gym, we ask that you remove your child’s shoes as well as your shoes.  There is a bench by the door to store shoes and jackets.   Please make sure that your child has socks for their therapy session.
  • Please do not enter the therapy gym or treatment room without a therapist.
  • Closely monitor your child’s behavior in the waiting room to ensure that they are playing safely and that they are playing appropriately with other children.  Please do not allow children to climb on, jump from, or over the waiting room furniture or toys.
  • Please clean up after your child in the waiting room.  Help them replace any books or toys they may have played with and throw away any trash that may have accumulated.
  • Accompany all younger children and those needing assistance or supervision to the restroom; this includes using the restroom for hand washing. Please notify your therapist if you have placed a soiled diaper in the bathroom trash can.

  • The family is always invited into the treatment session.  However, if siblings will be observing or participating, do not allow them to play with equipment without obtaining permission from a therapist.
  • Please refrain from talking on your cell phone in the lobby and other common areas of the clinic. Please place phones on vibrate or silent. If you must take or make a call, please step outside. 
  • If you plan on leaving the clinic during your child’s therapy session, please make sure your child’s therapist is aware and has a contact number for you.  Please return 10 minutes prior to the end of your child’s session.
  • If you need additional time to discuss your child’s therapy, progress, ask questions, or problem-solve treatment activities, please join your child’s session or, another time can be scheduled.
